This Refund Policy outlines the terms under which refunds are provided for our services. By using our services, you agree to this policy.
1. General Refund Guidelines
Refunds are subject to the terms and conditions of the respective airlines, hotels, or other service providers we partner with. ROOT OVERSEAS will facilitate the refund process on your behalf but is not responsible for any delays or denials from third-party service providers.
2. Flight Bookings
  • Domestic Flights: Refund requests for domestic flights are subject to the airline’s cancellation and refund policy. In most cases, cancellations must be made within a specific time frame to qualify for a refund. Any refunds will be processed after the deduction of applicable airline charges, cancellation fees, and administrative fees.
  • International Flights: For international flight bookings, refund eligibility depends on the fare type, airline policy, and the timing of your cancellation request. Some international fares are non-refundable, while others may allow partial refunds with applicable fees. Any refunds will be processed after the deduction of airline penalties and administrative charges.
3. Hotel Bookings
Refunds for hotel bookings are subject to the hotel’s cancellation policy. Refund requests must be made within the cancellation window specified by the hotel at the time of booking. If the booking is non-refundable or if the cancellation request is made outside the specified window, no refund will be provided.
4. Visa Services
Visa service fees paid to ROOT OVERSEAS are non-refundable once the visa application has been submitted. This applies even if the visa is rejected, delayed, or not processed by the embassy or consulate. Visa application fees paid to embassies or consulates are also non-refundable.
5. Customized Travel Packages
Refunds for customized travel packages will vary depending on the components of the package (flights, hotels, transfers, etc.). Each component may have its own refund policy as determined by the service provider. ROOT OVERSEAS will deduct any non-refundable amounts and applicable cancellation fees before processing a refund for any remaining refundable portions.
6. Service Fees
Service fees charged by ROOT OVERSEAS for bookings, visa assistance, or other services are non-refundable once the service has been provided.
7. Changes and Modifications
  • Booking Changes: If you need to modify your booking (e.g., change travel dates, destinations), additional charges may apply depending on the service provider’s policy. Any refunds for cancellations made after modifications will be based on the modified booking terms.
  • No-Show Policy: If you do not show up for a flight, hotel stay, or other service without prior cancellation or notification, no refund will be provided.
8. Force Majeure
Refunds will not be provided for cancellations or changes resulting from force majeure events, including but not limited to natural disasters, pandemics, government restrictions, strikes, or other events beyond our control. In such cases, refunds will be subject to the service provider's policies.
9. Refund Processing Time
Once a refund is approved, we will process the refund within 14 business days. However, the actual time for the refund to reflect in your account will depend on your payment method and financial institution. Refunds will be issued to the original payment method used at the time of booking.
10. Non-Refundable Items
Certain bookings and services are explicitly non-refundable. These include but are not limited to:
  • Non-refundable flight fares
  • Special discounted hotel rates
  • Visa application fees
  • Service fees and administrative fees
